Terms of Service
These Terms of Service (the “Terms”) govern your use of Woosool: the website woosool.com, Woosool Account and every Woosool product — Barid (mail), Yoom (calendar), Nass (contacts), Wasla (meetings), Lamma (chat), Khazna (files), Qalam (documents), Jadwal (spreadsheets), Sard (presentations), Sual (forms), Fikra (notes), Aman (passwords), Wajha (websites), Loon (design) and Injaz (projects) — together with the Woosool mobile apps and the booking pages, forms, sites, links and meetings that people publish with them (together, the “Services”).
They are an agreement between you and [Company legal name] (“Woosool”, “we”, “us”). The Privacy Policy, the Acceptable Use Policy and the Cookie & local storage notice are part of these Terms. Please read them carefully.
1. Who we are
The Services are provided by [Company legal name], registered at [Registered address], registration number [Company registration number]. You can reach us about these Terms at legal@woosool.com.
2. Accepting these Terms
You accept these Terms when you create a Woosool account, accept an invitation to Woosool or to an organisation, or otherwise use the Services. If you use the Services on behalf of an organisation, you confirm that you are authorised to accept these Terms for it, and “you” also means that organisation. If you do not agree, please do not use the Services.
3. Who can use Woosool
You must be at least 16 years old, or older if the law where you live sets a higher age for using online services without a parent’s consent. Woosool is not designed for young children. An organisation that gives accounts to younger people, such as a school, must obtain any consent the law requires and remains responsible for that use. We close accounts that we learn were created in breach of this section.
4. Your account
Signing up. Registration may be open to the public or limited to people with an invitation; we decide which, and it can change over time. A personal account gets an address on woosool.com. Some addresses cannot be registered by anyone: role addresses such as postmaster, abuse, privacy or support, and names that imitate Woosool, well-known brands or their look-alikes. A personal account is private: being on the same domain as someone else does not make you part of the same organisation.
Business sign-up. Signing up as a business creates an organisation with you as its owner and registers a claim on your domain. Mailboxes on that domain start working only after you prove that you control it by publishing a DNS record. A claim that is not verified within 7 days lapses, and if another organisation proves control of the domain first, the provisional addresses created on it are released.
Keeping it secure. Give accurate information, keep your password and other sign-in methods to yourself, and do not share your account. We recommend passkeys or 2-Step Verification. Mail, calendar and contacts apps connect with app passwords, never with your account password, and each new phone must be approved from a device you already trust. Tell us at security@woosool.com if you think someone else is using your account.
What we cannot recover. Your Woosool Aman master password and your mail encryption passphrase never reach our servers, so we cannot reset them. If you forget them, the data protected by them cannot be decrypted by anyone. If you lose your password together with your 2-Step Verification device and backup codes, we may be unable to give you back access.
5. Organisations
A business, school or public body can use Woosool as an organisation: verify its domains, create accounts on them, invite people and set policies. Nobody becomes a member of an organisation without accepting an invitation, and nothing changes for you before you accept. If you accept, the organisation’s administrators can:
- require 2-Step Verification, limit how long you stay signed in and choose which sign-in methods you can use;
- decide how new phones are approved for your account;
- choose which Woosool apps you can use;
- see your active sessions, devices and their IP addresses, and sign you out of all your devices;
- block you or remove you from the organisation;
- see what you share with the organisation in Woosool apps, and manage the organisation’s own channels, shared drives, projects and settings.
Your personal files, mail and contacts stay yours. Organisation administrators cannot read your direct messages in Lamma, and nobody but you can read your Aman vault.
Accounts that an organisation creates on its own verified domain (“managed accounts”) are controlled by that organisation: it can reset, suspend and delete them and decides what happens to their data. If you use a managed account, the organisation’s own rules also apply to you; ask its administrators how your data is handled.
An organisation is responsible for its administrators’ actions and for having a lawful basis to process its members’ data. For data it controls, we act as its processor under the Privacy Policy; a data processing agreement is available on request at legal@woosool.com.
6. Your content
You keep every right you have in the messages, files, documents, events, contacts, notes, forms, designs, sites, projects and other material you create, upload, send or store in Woosool (“your content”).
You allow us to store, copy, transmit, display and process your content only as needed to provide the Services to you and to the people you choose: for example to deliver mail, sync your calendar, make previews and thumbnails, convert between file formats, index it for your own search, scan it for spam and malware, and show it to the people you share it with. This permission ends when the content is deleted, except for copies in encrypted backups until they expire.
We do not sell your content, use it for advertising or use it to train AI models. Writing suggestions in Barid are off until you turn them on, and run on your own device.
You are responsible for your content and for having the right to use it. When you share something — a file, a link, a form, a booking page, a site, a meeting or an invitation — the people you share it with can see it, and a public link can be opened by anyone who has it. When you publish a site, a public form or a booking page, you are its publisher and responsible for what it says and for any notices the law requires you to show your own visitors.
7. Acceptable use
You must follow the Acceptable Use Policy. In short: do not break the law, send spam, phish, impersonate others, spread malware, attack or overload the Services or other systems, get around limits and protections, or harm other people. We may act on breaches as that policy describes.
8. Other apps and services
Woosool works with other software: mail, calendar and contacts apps you connect to your account; apps you authorise to use your Woosool sign-in; webhooks and automations you configure; and social accounts you connect in Woosool Loon. Mail you send to people outside Woosool is delivered to their providers. Those services have their own terms and privacy practices, and we are not responsible for them.
9. Plans, limits and fees
Some Services may be offered under paid plans. Prices are not published yet. When a paid plan is offered, its price, billing period, limits and cancellation terms will be shown to you before you order, and they will form part of these Terms. Storage, sending limits and meeting sizes depend on your plan. To protect the Services and other users, we apply technical limits such as sending rates, upload sizes and request rates.
10. Availability and changes
We work to keep the Services available and secure, but we do not promise that they will be uninterrupted or error-free unless a separate written agreement sets a service level. We may need maintenance windows, and we improve the Services over time. Features marked “planned” are not available yet. If we remove a major feature or a whole Service, we will tell you in advance and give you a reasonable opportunity to export your data, unless we have to act sooner for legal or security reasons.
11. Security reports
If you find a vulnerability, please report it privately to security@woosool.com. We welcome good-faith research that respects users: use only your own accounts or test accounts, do not access, change or keep other people’s data, do not degrade the Services, and give us reasonable time to fix the issue before you disclose it. We will not pursue research that follows these rules.
12. Suspension, closing your account and deletion
You can stop using the Services at any time. You can delete your account after confirming your password; deletion takes effect after a 14-day grace period during which you can cancel it. After that, every Woosool app erases the account’s data from its active systems, and remaining copies in encrypted backups expire within [Backup retention period]. Before you leave, you can download your account data and export your content in standard formats.
We may restrict, suspend or close an account, or remove content, if you seriously or repeatedly breach these Terms or the Acceptable Use Policy, if the law requires it, if it is needed to protect the Services or other people from harm, or for non-payment of a paid plan. We act proportionately, tell you why and, where it is lawful and safe, give you a chance to respond and to export your data. You can contest a decision by replying to our notice or writing to abuse@woosool.com.
If you are a member of an organisation, its administrators can remove you from it, and a managed account can be closed by the organisation that created it.
13. Our software and brand
Woosool’s software, design, name and logos belong to us or our licensors. While your account is active, we give you a personal, non-exclusive, non-transferable licence to use the Services and the mobile apps under these Terms. Do not copy, modify or reverse-engineer the Services except where the law allows it, and do not use the Woosool name or logo in a way that suggests we endorse you. If you send us feedback, we may use it without obligation to you.
14. Disclaimer
To the extent the law allows, the Services are provided “as is” and “as available”, without warranties beyond those stated in these Terms. Nothing in these Terms limits the rights you have as a consumer under mandatory law.
15. Liability
To the extent the law allows, we are not liable for indirect or consequential losses, or for loss of profits, revenue or goodwill, and our total liability for all claims relating to the Services in any 12-month period is limited to the greater of the amount you paid us for the Services in that period and [Minimum liability amount and currency]. These limits do not apply to death or personal injury caused by our negligence, to fraud, or to any liability that cannot be limited by law.
If you use the Services for a business or organisation, you will compensate us for claims by third parties arising from your content or from your breach of these Terms, to the extent the law allows.
16. Requests from authorities
We disclose user data to authorities only when we are legally required to, and we handle such requests as described in the Privacy Policy.
17. Changes to these Terms
We may update these Terms when the Services or the law change. For a material change we will notify you by e-mail or in Woosool at least 30 days before it takes effect, unless the change is required by law sooner or only concerns a new feature. If you do not agree, you can delete your account before the change takes effect. Every version is listed in the version history at the end of this page.
18. Governing law and disputes
These Terms are governed by [Governing law: country or state]. Disputes go to [Competent courts and city]. If you are a consumer, you also keep the protection of the mandatory laws of the country where you live and may bring proceedings there. Before going to court, please write to legal@woosool.com: most problems can be solved quickly that way.
19. General
These Terms, with the documents they refer to, are the whole agreement between you and us about the Services, apart from any separate written agreement for an organisation or a paid plan. If a provision is found invalid, the rest remains in force. If we do not enforce a right straight away, we do not give it up. We may transfer these Terms to a successor in a merger or acquisition and will tell you if that happens; you may not transfer your account without our consent. These Terms are available in English, Arabic and French; if the versions differ, the [Prevailing language] version prevails, unless the law where you live requires otherwise.
20. Contact
[Company legal name], [Registered address]. Terms and contracts: legal@woosool.com. Privacy: privacy@woosool.com. Abuse reports: abuse@woosool.com. Security reports: security@woosool.com. Everything else: hello@woosool.com.
